02Information we collect
Information you give us
When you contact us, request a quote, apply for a job, or subscribe to updates, we collect the details you choose to provide, such as:
- Your name, email address, phone number, and company or organization
- The content of your message or quote request, including details about your project or space
- If you apply for a role: your résumé, work history, and any information in your application
Information we collect automatically
When you visit our sites, we and our service providers automatically collect certain technical and usage information, subject to your cookie choices:
- Your IP address, device type, browser, and operating system
- Pages you view, links you click, and how you move through the site
- The source that brought you to us — for example a Google or Bing search, a Google Ads campaign, or a referral from another site or an AI assistant
- If you call a tracked number, our call-tracking provider records call details such as the number you dialled, your phone number, and the marketing source of your call. A pre-call message notifies you that calls may be recorded for quality purposes, and we record any voicemail messages you leave.
Information from other sources
We may receive business contact information about prospective clients from third-party data and prospecting providers, and we combine this with the information above to understand who may benefit from our services.
03Why we collect it
We use personal information only for purposes a reasonable person would consider appropriate, including to:
- Respond to your enquiries and prepare quotes and proposals
- Provide, install, and support our audio visual products and services
- Manage our relationship with you and provide customer service
- Send you marketing and updates where you have consented (you can opt out at any time)
- Review job applications and manage recruitment
- Measure and improve our website, marketing, and campaign performance
- Protect our sites, prevent fraud, and meet our legal and regulatory obligations
04Consent
We collect, use, and disclose your personal information with your consent, which may be express (for example, when you submit a form or opt into marketing) or implied (for example, when you provide information in the context of a service we're delivering for you).
You can withdraw your consent at any time, subject to legal or contractual limits, by contacting our Privacy Officer. Every marketing email we send includes an unsubscribe link, in keeping with Canada's Anti-Spam Legislation (CASL).
05Cookies & tracking
Our websites use cookies and similar technologies for essential functionality, analytics, and advertising. When you first visit, you're shown a consent banner where analytics and advertising cookies are switched off by default until you choose to turn them on. You can change your choices at any time using the "Manage Cookies" tool on the site. For full details, see our Cookie Policy.
06How we share information
We do not sell your personal information. We share it only in these situations:

Legal and business reasons
We may disclose information if required by law, to comply with a legal process, to enforce our agreements, or in connection with a business transaction such as a merger or sale, in which case we will protect its confidentiality.
07How long we keep it
We keep personal information only as long as we need it for the purposes we collected it, or as required by law. In practice:
- Contacts who do not become customers are retired from our systems within approximately 12 months.
- Customer and transaction records are kept for the length of our relationship and, for financial records, for the period required by Canadian tax rules (generally six years).
- Website analytics data is kept according to the default retention settings of our analytics tools.
When information is no longer needed, we securely destroy, delete, or anonymize it.
08How we protect it
We use reasonable physical, organizational, and technological safeguards to protect personal information against loss, theft, and unauthorized access, disclosure, or use. No method of transmission or storage is completely secure, but we work to protect your information in line with its sensitivity.

Subject to applicable law, you have the right to:
- Access the personal information we hold about you and ask how it has been used or disclosed
- Correct information that is inaccurate or incomplete
- Withdraw consent to our use of your information, or unsubscribe from marketing
- Request deletion of your information where we are not required to keep it
If you are a Quebec resident, Law 25 also gives you the right to request that we stop disseminating your information or de-index a link where it causes you harm, and to receive certain computerized personal information in a portable format. We do not use your information to make decisions based solely on automated processing.
To exercise any of these rights, contact our Privacy Officer at hello@evolutionav.ca. We will respond within the timelines required by law.
